- The challenge: As the portfolio grew, the admin grew just as fast. Utility and miscellaneous bills piled up, tenant billing slipped days or weeks behind, and the numbers across properties were hard to see.
- What we did: Built a set of automations to handle the recurring bills and tenant statements, plus personal AI tools that brief Nav each morning and keep the whole portfolio's finances in one live view.
- The result: Bills go out the day they arrive, about five hours a month of admin is gone, and Nav starts each day with everything he needs on his phone.
The challenge
Stratford Pacific is growing. Nav buys and improves single-family residential properties. Every new property adds more recurring admin, and the workload multiplies as the portfolio grows.
- The bills never stopped. Electricity, gas, water, property tax, household services. Each one had to be gathered, filed, and billed back to the right tenants.
- Tenant billing fell behind. With enough on the plate, bills were reaching tenants days or even weeks after they came in.
- The consolidated numbers were hard to see. Money moving across multiple properties. Getting a current picture meant pulling it together by hand.
- It all ran through Nav. Who had paid rent, what needed doing, where each property stood. None of it lived in one place, so getting a clear read meant checking tool after tool, a daily drain of time on top of everything else.

What we built
We built a technical foundation, not a single fix, and paired them with personal AI tools so the day-to-day runs without Nav having to hold it all in his head.
The recurring bills, handled end to end
- Every bill, read and filed on arrival. When a utility or household bill comes in, the system reads it, confirms the property, pulls the amount, and files it. No downloading, no keying numbers in by hand.
- Tenant statements, calculated and drafted. Once a property's bills are in, it works out each tenant's costs and drafts a ready-to-send statement. Bills go out the day they arrive instead of weeks later.
A daily view of the whole portfolio
- A briefing every morning. What needs his attention lands on his phone before the day starts.
- Tasks, captured and surfaced. What needs doing is tracked and brought to him in one place, not pieced together from three different tools every time he needs the full picture.
- Rent, tracked automatically. He can see when rent has been paid across every property, without chasing it down.
- One live view of the money. A running financial summary spans the whole portfolio, current whenever he looks, not assembled by hand.

What's next
This is an ongoing engagement. We run and maintain the automations and the AI tools, and they grow with the portfolio. Next, we are building automation into tenant sourcing and screening, so finding and vetting new tenants becomes as hands-off as the rest of the back office already is.
